Managing the lineup

This page is for people running a venue or a night. If you’re a DJ looking to play, start here.

This page answers what the slot grid is telling you, and what you can do to each slot.

Each slot shows its own state, so nobody has to ask you when they are on.

What each state means

  • Open — nobody has claimed it. It shows on the sign-up page.
  • Blocked off — you have taken it out. Use this for a resident, a guest, or the changeover you do not want anyone standing in. You can add a note when you block a slot off — a guest DJ’s name, “USB drawing spot” — and the sign-up page shows the note instead of the plain label.
  • Taken — a DJ has claimed it, and we have emailed them a confirmation.
  • Playing — happening now. The screen shows that DJ’s name and a countdown.
  • Done — played. It counts towards that DJ’s measured stats.
  • No-show — a DJ claimed it, did not turn up, and you marked it as such.

What you can do

  • Block off a slot before sign-ups open, for anything you are handling yourself.
  • Move a DJ to another slot when the running order changes. Pick the new slot from the DJ’s row — if another DJ already has it, the two swap. Their old slot opens back up, and the waitlist hears about it.
  • Release a slot when a DJ drops out. It goes back to open, and the waitlist hears about it automatically.
  • Mark a no-show after the night, from the lineup or the night report. The slot stays closed, the no-show counts in your report, and the DJ sees it in their own set history.
  • Invite your roster to the night — one action emails every DJ on the list. Do it once, a week or so out.
A no-show is not a public mark against the DJ — nothing about it appears on their public profile. They do see it in their own set history, so mark it only when they really left you standing.

The waitlist

Once every slot has gone, DJs can join a waitlist instead of messaging you. If a slot opens up, we email everyone on the waitlist, and the first DJ to grab it gets it. You do not have to pick anyone or chase anyone.

This is the feature that quietly saves you the most work. A full night stops generating “any chance of a slot?” messages entirely.

If you need to reach everyone

Cancelling a night emails every DJ who claimed a slot, so you never have to chase the list yourself. Do it from Open decks rather than deleting the night.
